Effective time management is essential to any successful business owner or executive, as regards their ability to manage and make the growth of your organization. To e-mail and the lack of a strategy for effective email management may be its Achilles' heel of the loss of many precious hours each day, leaving your email open. Limit switch what they are doing more to read and answer every e-mail that comes to inbox. The downside are the owners and managers who completely ignore their e-mails. Do not open or check email all work during the day, leaving a full inbox and a fully effective strategy to identify what is important and what is spam.
He was in a recent post from Chris Brogan (chrisbrogan.com) led me to rethink my own strategy for managing email and start to monitor the impact it has had on my own time management in general. What I understood is that even if component maintains an e-mail to my overall strategy of management time each day and limited time spent reading e-mails, was not necessarily spend my time reading e-mail, but often the newest e-mails.
Email Management Strategy
Email can be a great tool, but also a huge distraction that affects our efficiency to work in the business daily. Our goal should be to check e-mail three times a day for more than 30 minutes at a time and not have to respond every day to every ding that an email has arrived (at the same time it was). We all know there are times when you need to send or receive an important email, but it must be the exception rather than the rule. If you check your e-mail in the day, then the only action to take is to classify e-mail in your inbox for further review expected.
SAP strategy
PEA stands for personal email Action Strategy, which must develop and use everyday to manage and effectively control the flow of email and reading what you spend your precious time to react and respond. The reason I call EAP strategy is that it is small in the time required to effectively implement, but difficult at first and requires a level of commitment to soften it and make it part of their diet daily time management.
First installation only three folders in your e-mail system your inbox. Title of each file as follows:
- Action - For email required immediate attention during the meeting scheduled email management.
- Action - Emails that require attention, but not an immediate priority.
- Education and ideas - The e-mails read, because they provide value to you, your business, but must be read to both sides.
Plan email sessions for early morning, half day afternoon and evening before the end of the day and fix a maximum period of not more than 30 minutes (15-20 is better) to engage in e-mail read, react and respond.
Each session should e-mail follow these guidelines:
- SAP General Information - Quickly go through the mail in your mailbox in an effort to separate wheat from the chaff. It is therefore necessary to remove all unnecessary e-mails immediately, then forward any mail that can be treated by other within your organization and to the last drop any other e-mails in one of three records were set as shown above.
- E-mail messages NOW - Now go to the first folder to read and respond if necessary to emails that require your immediate attention. Then delete or move e-mail from an appropriate folder to a backup has been duly filed. Make sure that any message sent you move to the folder message sent to the appropriate folder on this if necessary as well. Management in which store email correspondence is as important as sending an e-mail sometimes.
- Action Required - If you have not exceeded 30 minutes (Or whatever the time allocated), then move to e-mails that have been placed in the record of action required. Use the marking system most programs have to identify what needs to be managed first. Remember that if someone else can stand it, then send immediately to the appropriate person and do not waste your precious time.
- Education and ideas - we receive all emails that are not necessary, but important for education and ideas that affect our lives and business. These e-mails or links to articles or blogs can be read during the period reserved in the context of its strategy of time management Strategic Planning, Education and ideas. Setting aside time each week to read, think, educate and stimulate ideas that will be the future of your business is important and necessary. Give these ideas or create a spreadsheet. No time wasted, just schedule the appropriate time.
One last detail important in e-mail is the subject line. Ensure that every case involves e-mail you send and policy development within your organization that the same guideline to be followed by all. There is nothing worse than trying to find an e-mail that has been deposited with the subject line has nothing to do with the subject or client referred to in a.
SAP strategy is discipline, preparation of priorities and make effective email management a strategic element of its overall strategy of time management.
